Rewards, approvals & payouts
Understand how rewards move through pending, approved, and paid states, how to grant customer credits and free months, and how to export payout batches.
RewardSpring keeps a clear, auditable trail for every reward — whether it is a cash commission for a partner or an account credit for a customer. This guide explains the reward lifecycle and how to pay out.
The reward lifecycle
Every reward moves through states:
- Pending — created when a referral converts (a paid invoice in Stripe). A holding period gives you time to catch refunds and self-referrals.
- Approved — you have reviewed the reward and confirmed it should be paid or credited.
- Paid / Credited — the commission has been included in a payout batch, or the customer credit / free month has been granted.
Rewards can also be reversed if a payment is refunded or a subscription churns inside the holding period.
Approving rewards
Nothing is paid automatically. On your dashboard you will see pending rewards and approved unpaid commissions. Review them, then approve or reject. Reversals are available when you need them.
Basic fraud and self-referral flags highlight suspicious activity so you can look before approving.
Paying partners (cash commissions)
RewardSpring calculates what is owed but leaves you in control of the money:
- Approve the pending commissions you want to pay.
- Group them into a payout batch.
- Export the batch as CSV and pay through your provider of choice.
The batch keeps a record of what was paid and when.
Rewarding customers (credits & free months)
For customer referral programs, rewards are usually granted as account credits or free months rather than cash. Once you approve a customer reward, it is credited and reflected in the customer’s portal.
Remember to keep customer-facing language friendly: use reward, credit, free month, invited, joined, and credited — and avoid commission, payout, affiliate, and conversion.
Keeping records
Reward and payout state changes are audited, and each partner and customer can see their own history in their portal. That means fewer disputes and a clean record if anyone asks.
